The Administrative Assistants performs a variety of administrative and clerical duties necessary to run our company efficiently. They serve as information and communication assistant for an office; plan and schedule meetings and appointments; organize and maintain paper and electronic files; manage project documents; and disseminate information by using the telephone, , Web sites, and e-mail. The administrative assistant uses a variety of office equipment, such as, photocopiers, scanners, and telephone systems. In addition, the administrative assistants often use computers to create spreadsheets; compose correspondence; manage databases; and create reports, and documents.
Duties & Responsibilities:
1.Type variety of documents including majority of site specific correspondence Maintain/set up sophisticated filing systems using QCS management system.
2.All Items regarding QCS System should be reported to QCS Manager
3.Prepare, translate daily QC Report after check with QC Manager enter into QC system.
4.Preparing, transcribe meeting minutes.
5.Coordinating receipt and processing of submittals to include preparing for PMâ€™s approval, architectâ€™s review, preparing logs and returning to originator or turning in to AED
6.Ensuring continuance of office routine in PM absence. May write reports, letters, memos etc. for PM signature.
7.Perform additional assignments per management Direction.
Minimum Experience: one year, High school education required, Knowledge of administrative and clerical procedures, Knowledge of computers and relevant software applications (QCS Preferable), Verbal and written communication skills, Other Duties: Other duties as assigned
