Responsibilities and Duties
The Tender Distribution Services and Administrative (TDS/Admin) Associate is responsible for the daily operations of the Kandahar Field Office Tender Distribution Point (TDP) and for routine administrative tasks. Reports directly to the Kandahar Provincial Manager, while being responsive to the Kabul-based Finance and Administrative Manager and liaising with the Kabul-based Tender Distribution Services Officer.
Tender Distribution Services
• Distribution of tenders in soft/hard copies in office to local businesses;
• Update TDP track sheets and visitors log daily basis;
• Provide basic information about the tenders to businesses;
• Provide technical assistance to the local companies;
• Explain the www.buildingmarkets.org, and especially the tenders directory to visitors of TDP;
• Collect tenders from different sources;
• Post registered vendors’ profiles on www.buildingmarkets.org;
• Assist Kabul Tender Distribution Services Officer with quarterly impact surveys to gauge the effectiveness of TDS;
• Perform any other program duties as required by supervisor.
Administrative
• Responsible for petty cash handling and bookkeeping;
• Record daily vouchers using PDT standard excel reporting and tracking sheet;
• Organize visas, registrations and other government requirements;
• Staff flight bookings, travel arrangements and Hotel/Guest house bookings.
• Responsible for office inventory and asset tracking using PDT standard sheets.
• Maintain all office administrative and TDP files and correspondence record keeping system (incoming and outgoing mail)
• Ensure office security, cleanliness, supply stocks;
• Prepare abstracts of offers and compile data contained in quotations and bids to determine which supplier can deliver the required goods/services at the best terms and lowest costs possible with due consideration to quality, delivery time, prompt payment and other discounts, transportation costs, etc;
• Assist in making ID cards for staff; maintain staffs leave form process, staff monthly timesheet, and record staff presence and leaves.
• Support other PDT staff when required.
Qualifications
• High school graduate;
• Computer literate, good knowledge of PC/Windows software (Word, Excel);
• Knowledge of the Afghan marketplace, particularly the construction and logistics sectors;
• Administrative experience with a national or international non-governmental organization;
• Fluent in Pashto and good command of English and Dari, both oral and written;
• Good interpersonal skills and ability to work independently and in a team;
• Strong organization and data management skills;
• Excellent communication and networking skills;
• Energetic and efficient, results oriented.
