is providing Administrative support to the team, the group carries out Management of limited subject area or recurring tasks according to request of (internal) clients or of supervisor

Duties & Responsibilities:

A. Responsibilities:
The incumbent is responsible for
 Flight tickets reservation and tickets purchase.
 Informing travellers on cretin procedures and deficiencies.

Within this context, s/he fulfils the following tasks:
B. Detail of Tasks
Travel arrangements:
 Flight tickets reservation and tickets purchase.
 Being responsible for all flight cancellation, with UNHAS and any other airlines.
 Making sure to collect the refund money of the cancelled tickets and to reimburse to concerned project number.
 Advance settlements of the contractors in coordination with the logistic Unit Manager.
 Hotel reservations.
 Settlement of the hotel invoices.
 Processing visas, invitations for Afghanistan and all the other countries in coordination with the logistic Unit Manager
 Entering every single flight to the flight data base on daily basis
 Updating the visa manifest on daily basis.
 Registration of Experts in MoIA.
Financial Management
 processing the payment for UNHAS every quarter
 Settlements of the hotels invoices in coordination with the Logistics Unit Manager
General Services
 copying of the documents,
 filling the documents

Other Duties/Additional Tasks
 correspondence with GTZ Projects
 Voucher translation
 Any other duties as advised by the Logistics Manager

Job Requirement:

Formal Education
 High school Graduate.

Professional Experience
 At least 3 years of working experience in a similar position

Further Knowledge
 Excellent command of MS-Office
 Good working knowledge of modern telecommunication systems (telephone, fax, e-mail, internet and its software)
 Language skills
